Flex is a pure pay-as-you-go model with no subscription and no commitment – ideal for getting to know betterPortrait or for very sporadic use. Light is the annual subscription for smaller teams: you get a fixed annual quota at a lower price per portrait, plus payment by invoice, digital onboarding, automatic reminders and reporting.

Q: Can I switch plans at any time?

Yes. Upgrades are possible at any time with a click in the dashboard – the higher quota is available to you immediately. Downgrades take effect at the end of the current annual period, so your paid quota stays protected.

How does the pricing model work?

Our pricing model is tier-based and transparent: For sporadic use, we offer Flex, a pay-as-you-go plan with no commitment. The Light, Plus and Enterprise plans are annual subscriptions with a fixed quota of credits. Billing is done annually – in return, you benefit from a lower price per portrait compared to buying individually.

What counts as a "portrait"?

Accepted Answer

A portrait is any image you upload that is processed by our software. If the same portrait is later output in multiple presets (e.g. for your website, LinkedIn and a badge), or recropped, no additional costs apply. So you pay per person, not per format.

If the same person uploads a new picture at a later point in time, it counts as a new portrait. We usually recommend a new picture every five years.

How many portraits should I plan for per year?

Accepted Answer

As a rule of thumb: plan for portraits covering about a quarter of your workforce per year. For 100 employees that's ~25, for 1,000 accordingly ~250.

This number covers new hires and accounts for the fact that existing employees need a new portrait roughly every 5 years on average.

The higher the turnover, the more new hires – and the fewer existing employees reach their next 5-year cycle. The two balance each other out, which is why the rule of thumb remains a stable enough approximation across different turnover rates.

What happens if I exceed my annual quota?

If you max out your annual quota, you can purchase additional credits at any time. Your plan remains unchanged – no automatic upgrade, no surprises.

Unused credits expire after one year. Our subscription is designed as a worry-free subscription: you have predictable expenses and secure enough credits. In return, the price per portrait in the subscription is significantly lower than buying individually.

There is no setup fee for Flex, Light and Plus – you can get started right away. For Enterprise customers with individual requirements (custom setup, migration, dedicated consulting), we charge for the setup based on effort and disclose it transparently in the quote.

How does betterPortrait compare in price to a photo box?

Accepted Answer

betterPortrait is more flexible and usually more affordable than renting a classic photo booth. A photo box is also available with betterPortrait, by the way – as one of several capture channels alongside app upload and digital onboarding. Portraits are created independent of time and place, the quality is optimized by our algorithm, and you store your individual styling guide in the web app.

Significantly cheaper. betterPortrait is usually almost 10 times cheaper when compared to the cost of a shoot for a single employee, including post-processing.

betterPortrait is online software and can be used immediately. A larger (Enterprise) integration project takes between two and four weeks, depending on complexity.

How does the betterPortrait integration process work?

In a first step, we jointly define the presets (backgrounds, formats, etc.), the workflows (who uploads the smartphone photos?) and the texts (for the emails and SMS to your employees).

We then set up the dashboard and import any existing images. Thanks to our post-processing, we can also easily unify these.
