Website, intranet or badge: every use of an employee photo needs a legal basis. betterPortrait collects consents right at photo upload, documents them in an audit-proof way and enforces them automatically – compliant with the Swiss FADP and the GDPR.

Freely configurable purposes

You define per company what consents are collected for – website, intranet, social media or badge. Each purpose has its own legal texts per language and form of address, its own legal basis, and can be required, optional or withdrawable. You can even set different rules per department.

Consent right at upload

Employees give their consent exactly where they upload their photo: in the digital onboarding, at the photo kiosk or in the portal. One click is enough – anyone who wants to can adjust the selection per purpose. Declines are documented just as cleanly.

Self-service withdrawal

Employees can see in the portal at any time which consents they have given and withdraw withdrawable purposes on their own. HR is notified automatically and the photo is excluded from future exports.

Audit-proof evidence

Every decision is recorded with the exact wording, version, timestamp and origin – immutably. If a supervisory authority or an employee asks, you have the complete evidence at hand in seconds.

Enforced all the way to export

With us, consents are not PDFs in a drawer: every export integration and the delivery API only release a photo if the required consent is in place. If it is withdrawn, the export stops automatically.

Consent API for your systems

Your HR and IT systems can query the consent status at any time via a read-only API – per person and per photo. That keeps the system landscape outside of betterPortrait consistent as well.

Anchored in the file metadata

The consent status is written directly into the metadata of the delivered image files – as part of the signed Content Credentials based on the C2PA standard. The information stays attached to the image even outside of betterPortrait – wherever it is used next.

Works with your own photographer

You work with a photographer and don’t need our image editing at all? No problem: simply upload or import the finished photos – betterPortrait collects the consents by email afterwards and manages them centrally. Existing photo confirmations are transferred with a single click.

Reminders & requests, automated

If a consent is missing, betterPortrait can automatically send a request by email – for example when HR uploaded a photo on someone’s behalf. You can see the status per person and per photo in the dashboard at any time.
